PROGRAM DESCRIPTION The Human Resources Department provides support to the workforce in the areas of recruitment and staffing, employee relations and counseling, training and development, wage and salary administration, Affirmative Action and employee benefits. KEY ROLES/RESPONSIBILITIES The Benefits Specialist is responsible for administering and communicating the company's benefits program in regard to plan options, policy features, enrollment and other requirements. Ensures company benefit plans are in compliance with federal and state laws. The position is responsible for providing excellent customer service and first level support to employees via phone and email. Partner closely with the Human Resources team and all other departments within the organization on benefit issues, keeping the HR Business Partners informed of client issues. Responsibilities include: Assists with the development and/or administers the company's employee benefits programs, which may include all or part of the following: vacation, holidays, sick leave, medical/dental/vision coverage, disability, group life, supplemental benefits programs, savings programs, 401(k) , pension programs (DB), leaves of absence Assists with online benefits administration and employee self-service sites. Assume primary responsibility for ongoing utilization of the site's features and procedures including eligibility management, enrollment management, billing, reporting, and maintenance Works with vendor to evaluate and benchmark employee benefits programs Assists with the evaluation of present programs through research, surveys, and analysis of benefit trends and/or vendor management to ensure plans are competitive and current. Surveys market data in order to determine company's competitive position in employee benefits Administer all leave administration activities including working with employees, managers, and our third-party administrator on FMLA, disability, and company medical leave of absences. Ensure compliance with state leave laws as needed Maintain benefits SharePoint site Assists with communications for all benefits activities and annual events Performs audits of benefits and benefit related payroll deductions Supports Open Enrollment process which may include meeting with Broker to determine benefit plans for coming year, creating communications to employees, reviewing and providing feedback to Broker on updates to benefit guide, and updating Benefits system with new rates when appropriate. Monitor Benefits System to ensure changes are sent to vendors in timely manner. Ensure that file feeds are set up and going over correctly Monitors government regulations, legislation, and benefits trends and ensures plan compliance. Establish and maintain familiarity with provisions of existing as well as new federal and state laws to help determine impact on benefit plans and ensure compliance with COBRA, HIPAA, ERISA, Section 125 and regulations Provides support for all routine retirement plan operational activities, including review, adjustment and submitting for approval contribution reports and distribution requests Assist with administration of the 401(k) plan which may include communicating with payroll team, conducting annual non-discrimination testing, processing corrections (if needed), managing the annual 401(k) audit, and all 401(k) related communications Process defined benefit retirement requests/calculations/transactions with high degree of accuracy and within deadlines Perform audits to verify integrity of data in Benefits system to match data stored in the HRIS system Communicate with coworkers, trustees, and clients to resolve processing issues immediately Audit and process monthly vendor billing Coordinate general financial education and well-being seminars Other duties as assigned BASIC QUALIFICATIONS To be considered for this position, you must minimally meet the knowledge, skills, and abilities listed below: Possession of a Bachelor's degree in HR, Accounting or related field from an accredited college or university according to the Council for Higher Education Accreditation (CHEA). Foreign degrees must be evaluated for U.S. equivalency.
