Company Description Glasshouses develops, owns, and operates modern amenity-rich event and meeting spaces in the Metropolitan New York area. We design cutting-edge spaces and interact with our clients to create memorable events across the corporate, social, and non-profit categories. We are currently developing New York City's largest private event space, The Glasshouse, which will open in early 2020. The Glasshouse will be a 75,000 square foot penthouse space with outdoor terraces and incredible waterfront and city views and will have the capability to host a wide array of corporate, social, and non-profit events. We are seeking an enthusiastic, highly-motivated Event Operations Manager to join our team, execute events with a superior level of excellence and hospitality, ensuring that all operations are run smoothly with team members, caterers, and vendors according to Glasshouses' standards. Responsibilities Event Execution Ensure that all events held at Glasshouses venues are executed in line with the superior level of service that represents the Glasshouses brand and as outlined in Glasshouses' Standard Operating Procedures. Create and manage banquet event orders (BEOs) via TripleSeat (event sales management software). Design floorplans via AllSeated (floorplan management software). Oversee all event setups, serving as a liaison between Glasshouses and clients during event setup and execution; serve as onsite contact for events to ensure seamless execution and exceptional client experience. Support client and vendor load-in and load-out processes, as well as managing setup and strike of in-house equipment. Assist Operations management during scheduled service, including supporting flow of service, implementing creative solutions as needed. Provide a proactive approach towards guest hospitality during events. Resolve client and guest issues and concerns with a professional demeanor. Assist with all coordination of rental orders and special event ordering. Monitor guest count during events. Supervisory Oversee maintenance and cleanliness of all venue areas (including ancillary spaces) on a daily basis, including maintenance of in-house equipment and management of cleaning process for venue and venue inventory after each event, as well as general wear and tear (painting, replacement of equipment, maintenance of floor, plumbing, lighting, trash removal, etc.) Ensure that all venue areas are delivered to clients in an "event-ready" state and are left in an "event-ready" state after each event, providing direction to operations and cleaning staff as required. Assist with inventory of in-house equipment (tables, chairs, tabletop service, moveable partitions, etc.). Coordinate trash removal and cleaning. Operations Organization/Supervisory Collaborate with the Sales team on event details to ensure that all Glasshouse events are executed in line with client vision. Participate in weekly operations department meetings to discuss upcoming events and outstanding issues. Coordinate with the Beverage Manager to support management of beverage inventory, including order placement and cost management. Support training of both full-time employees and hourly staff in line with Glasshouses service standards; leverage best practices and minimize staffing costs where possible. Maintain an open, professional communication with operations staff and external production partners (planners, caterers, designers, AVL, rentals, etc.). Assist Director of Operations as needed on all facilities and operational items. Maintain thorough knowledge venue features, such as lighting and electric systems, shades, HVAC, etc. Manage cleaning and maintenance tasks to ensure that venue and venue's inventory is well-maintained and clean; recommend replacement of equipment as needed. Provide ongoing recommendations for operational efficiency and minimization of costs. Travel between venues, as necessary. Qualifications 3+ years of operations experience, venue or hospitality in the New York City market; hotel or off-premise catering experience a plus. 3+ years of experience in supervising operations staff, managing both internal staff, variable labor, and vendors. Deep understanding of the venue operations business, including strong understanding of local New York City events marketplace. Entrepreneurial spirit- record of providing recommendations to improve profitability (bringing revenue-generating and efficiency-creating ideas to management). Demonstrated ability to manage and lead a team; ability to maintain a high level of team morale and productivity. Highly collaborative, ability to create relationships quickly with clients, colleagues, and business partners. Effective verbal, interpersonal and written communication skills to ensure that client needs are addressed and executed across Glasshouses staff. Dynamic, with a passion for hospitality and events. Solutions-oriented with a positive, "can-do" attitude. Ability to work well under pressure and to adapt to changing priorities; at ease with complexity Exceptional organizational abilities, with strong attention to detail and excellent follow-up skills. Experience in TripleSeat (event sales management software) and/or AllSeated (floorplan management software) a plus. Flexible schedule (days/nights, weekends). Must be able to lift at least 50 lbs.
