A CEO/Founder who is high-profile and inspirational is looking for an EA. He has been featured on 60 Minutes, Ted Talks, and Bloomberg TV for his success, unique approach to business and his philanthropic work. The firm is a Global manufacturer/distributor with an office in Soho. The CEO worked with a former EA for many years. The role reports to the Chief of Staff and works in conjunction with the Personal Assistant to the CEO. The firm has a highly collaborative atmosphere that encourages employees' potential and promotes career growth within the firm. A candidate who has an entrepreneurial mindset and ready to take on challenges would succeed at the firm. The office has 150 ppl.

About the Job:

Coordinate and prioritize meetings and projects with company executives and administrative staff

Develop positive internal and external relationships

Work in conjunction with the Personal Assistant to run the CEO's life

Create presentations

Screen incoming phone calls delivering detailed, timely messages to the appropriate parties

Assist in maintaining an ever-changing calendar

Schedule internal and external meetings

Coordinate complex travel arrangements both private and commercial (domestic and international

Vet and prioritize the CEO's emails

Coordinate meetings (location, travel, catering)

Process expense reports

Prepare materials for meetings

Special projects

Some off-hour availability required (needed coverage can be split with the PA)

About You:

Minimum of 5 years of experience in a related support position

BA/BS from a college or university

Excellent Microsoft Office skills (Word, Excel, PowerPoint and Excel)

Flexible and able to adapt to last minute changes

Excellent phone manners

Dynamic and proactive comfortable in a fast-paced environment (the firm has the feel of a startup)

Polished, professional demeanor

Proactive go-getter; no task is too big or too small

Outstanding communication skills

Hours: 9am to 6pm (may vary depending on CEO's meetings)
