We're seeking a Tourism Coordinator to provide administrative and program support for the Established Markets Group. The Established Markets are the countries of Australia, Canada, France, Germany, Ireland, Italy, The Netherlands, The Nordics, Spain and the UK. The Coordinator will report directly to the Managing Director and provide support to the Managing Director and the Director of the Established Markets Group. The Coordinator will lend support with the international representative offices (listed above) - by answering administrative question, assisting with in-market promotions, sales missions, trade shows and familiarizations trips. The Coordinator will update/handle the destination presentation updates, data entry in SimpleView, and handling work management documents.

The Coordinator must be a team player, organized, able to multi-task, creative, and solutions driven. The Coordinator will handle the administrative duties for the Established Markets. Responsibilities include but not limited to front desk duties, invoices, accruals, retainers, destination presentation, collateral distribution, travel trade inbox, newsletter, international rep updates, sweepstakes and prize agreements, and update webinar content. The Coordinator will also work with the Coordinator, Emerging Markets on activities and program that relate to both groups, and will interact with other departments such as the Communications, Finance, Legal, Marketing and Membership teams.

Responsibilities:

  • Provide administrative support:
  • Handle Managing Director's travel arrangement and expense reports
  • Update, schedule and maintain calendars for Managing Director and Established Markets Group
  • Collect and organize reports, and filing, as needed
  • Handle Managing Director's phone calls; direct incoming phone calls to appropriate person (s), parties.
  • Provide front desk reception coverage when needed
  • Help with international familiarization trips, for Managing Director and Director
  • Create sales mission registrations in SimpleView
  • Record and distribute invoices and retainers for the Established Market
  • Manage accruals with Finance; communicate updates and deadlines for the Established Markets
  • Update and manage destination presentations
  • Manage and communicate collateral inventory and shipments to Established Market offices
  • Check daily travel trade inbox, and distribute request or lead to Group Manager
  • Collect and action trade pass requests received through the travel trade inbox
  • Collect information/updates from the Established Markets for monthly newsletter
  • Traffic, with legal, the development of prize and sweepstakes agreements; record and file copy of signed agreements for the Groups
  • Update webinar content, as directed by the marketing team
  • Participate in various company events, outside of regular business hours, as requested


Experience:

  • CRM experience required
  • Knowledge of SmartSheet, Smartsheet, Google Docs, and PowerPoint or comparable presentation software
  • Familiarity with Webinars and expense report systems
  • Tourism experience preferred, but not required
  • Foreign language is a plus
