The Groups & Events Supervisor will represent Vermejo and Ted Turner Reserves in a positive manner, promoting the Reserves’ sustainability and conservation mission. This position works with Vermejo’s leadership, departmental management and the Sales and Marketing team to continually improve and optimize processes, products, and services. This position will liaise with scheduling managers of each department to ensure proper staffing needs are met for all scheduled group events.  

As Groups & Events Supervisor, job responsibilities include, but are not limited to the following:

  • Assist with the coordination and execution of all corporate and social events, ensuring that meetings, conferences, seasonal celebrations, community outreach and all other events proceed smoothly.
  • Ensure that group events meet Vermejo’s level of quality standards.  
  • Communicate with prospective and confirmed clients from initial planning inquiry to event completion.
  • Make follow up calls with prospective clients and hold meetings with clients who are interested in hosting an event.
  • Prepare event quotes and handle billing.
  • Conduct site inspections and handle onsite event coordination.
  • Prepare post-event recaps for internal distribution and for regular improvement reviews.
  • Handle client relations, tracking and maintaining guest relationships upon completion of each stay or event.
  • Work closely with Sales and Marketing to plan and deliver effective programming for travel advisory trips and site visits, acting as a Host as needed.
  • Prepare, update, and distribute private event itineraries, banquet event orders and master event calendar across all Management teams.
  • Develop and foster strong relationships with current and prospective guests, Vermejo Natural Resources Division, local vendors, suppliers, and industry partners.
  • Establish and ensure standards for the cleanliness, safety, and organization of venues to include equipment and décor.
  • Perform regular inventory and quality reviews of event and catering supplies and decor.
  • Liaise with the Food & Beverage Manager, Events Program Manager and Facilities Manager to continually improve venue operations to maximize guest satisfaction.
  • All other duties as assigned.

This job has supervisory responsibilities.

Position requires applicant to live on Vermejo headquarters approximately 40 miles from the closest town. Vermejo’s location is approximately 4.5 hours’ drive south of Denver or 4.5 hours’ drive north of Albuquerque.

Vermejo offers single- and double-bedroom dorm room style company housing (subject to availability) and 3 meals per day served in the Employee Dining Room.

The employee may be subject to sharing a room with one other employee depending on the availability of a single dorm room.

The nearest town, Raton, NM, is located approximately 1 hour from Vermejo headquarters, and employees will need to provide or arrange for their own transportation to and from Raton for personal supplies.

A high school diploma and/or GED is required with some college preferred.   Prior hotel/reservations, travel agent, or wholesaler experience is helpful. Experience with Microsoft Office is required.  Experience working in a luxury hotel/resort setting is highly preferred but is not required.

The employee must have the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. The employee must have the ability to write routine reports and correspondence.    

The employee must be able to solve practical problems and deal with a variety of variables in situations where only limited standardization exists. The employee must be able to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

If position requires operation of a vehicle, employee must possess a valid Driver’s License or be able to obtain one within 30 days of employment. The employee’s driving record must meet the standards and requirements of the Company and the Company's insurance carrier.


  • The employee must adhere to Company and Vermejo policies and procedures, which are included in the Company’s Employee Handbook and the Vermejo Addendum.
  • The employee must present documentation establishing both identity and employment authorization within three days of hire, pursuant to federal law.
  • The candidate may be subject to undergo pre-employment drug test, (after offer is given but before applicant has commenced work). Random drug tests are given throughout the year.
  • The Company operates as a drug free/smoke free workplace. Smoking is not allowed on the Reserve property, to include but is not limited to, Reserve housing, Reserve vehicles, Reserve offices or on Reserve machines.
