The West Side YMCA is looking for a Guest Room Agent to assist in the guest room operations at the West Side YMCA by inputting confirmed reservations into the HMS reservation system for the West Side YMCA properties made by Global Distribution Systems, on-line Travel Agencies, tour operators as well as telephone requests for the West Side YMCA. Assist with the overall management of the WSY guest rooms which includes coordinating of group stays, housekeeping, check ins, check outs, luggage room, etc.

Key Responsibilities:

Review and enter daily reservations from the various sources entering requests in HMS system. Pay close attention to detail booking correct room type and arrival/departure dates. Confirm reservations to operators and on-line sites as required. Assign and put guest rooms off service, Review aging report on daily basis. Communicate and interact with guests and potential guests and agents to complete booking or get new business. Keep guest room documents in order, secure and in accordance with Audit compliance. File documentation and sent to storage or destroy related guest rooms reservation documents in order to maintain filing and storage compliance. Manage all group sales for all operating guest room branches. Represent as Guest Rooms point person when the Guest Room Director is not available. Provide back up to the system administrator for HMS Update and keep excellent online files of reservation requests to comply with booking changes and modifications. Compile monthly and YTD bookings of GDS and tour operators and prepare forecast reports. Actively participate in training sessions and designated meetings. Other activities and duties as needed that address the ongoing health and well-being of our staff and members. Follow and maintain sanitary habits in accordance with CDC guidelines.

Desired Skills & Experience:

High School diploma or equivalent. Some College preferred Minimum of 3 years data entry, office work experience. Computer literate with knowledge of Microsoft Office. Excellent customer service skills. Experience with sales, reservations, and/or hotel property management systems is a huge plus. Must be available to work afternoons and weekends.
