Seeking an Event Specialist for an award winning Special Events & Off-Premise Catering Company in New York City. This position offers an opportunity to work in the events and catering industry while being a part of a dynamic team. The candidate will report to the Director of Special Events and manage all aspects of events including event planning, event execution, and client relationships.


The right candidate will be a motivated and highly organized individual able to perform but not limiting the following responsibilities:

  • Manage the coordination of off-premise events from conception to execution
  • Field calls and maintain client correspondence
  • Follow up on new leads and referrals
  • Identify sales prospects and establish new relationships
  • Preserve current client relationships
  • Manage account services through quality checks and other follow-up items
  • Generate all event paperwork including proposals, contracts, invoices, rental sheets, pack lists, floor plans, staffing, captain packets
  • Distribution of paperwork to key team members (management, front of house, back of house, warehouse)
  • On-site event management ensuring all clients needs are met
  • Management of event budget
  • Sourcing vendors and securing competitive pricing for goods and services
  • Research - new products, our clients, industry events, venues, site visits
  • Oversee Jr Event Specialist's duties including their assistance with permit applications, writing proposals for clients, generating invoices, creating rental orders and pack lists, ordering supplies, designing and printing signage for events, hiring/scheduling staff, and staff payroll
  • Assemble weekly sales leads into an organized database
  • Maintain sales materials and current knowledge of our menus and available services
  • Formulate weekly status reports, including activity, follow-up, sales leads, and potential leads/new business opportunities

  • Experience in Adobe is a plus but not required
  • Bachelors Degree or Higher
  • 5+ Years of Experience in Events and Off-Premise Catering
  • NYC Food Handler's Certificate (Preferred)
  • TIPS Certified (Preferred)
