The Workforce Engagement Specialist role is an exciting and key role at Cogito. In this role, this person will support a diverse range of Cogito employees (who we call Cogicians) in various functions across the company, in their use of a flexible range of workspaces they elect under our "office optional" vision of a Cogito workspace. This role plays an integral part in providing and maintaining a positive and productive workspace environment, regardless of whether Cogicians choose to work primarily in office, primarily remote, or a hybrid of the two. This person will be responsible for workspace planning and budgeting, workspace operations, participating in the onboarding of new Cogicians, managing facility and vendor relationships, event planning and a variety of other responsibilities related to employee experience. This role will be reporting directly to the Director of People & Culture. This person will be closely involved with all aspects of a Cogician's life cycle including working with Talent during the recruiting process, People & Culture through on-boarding process as well as in planning and executing on employee engagement programs and Business Operations for vendor and facilities management. Keys for success in this role are effective communication skills (both in-person and remotely), strong organizational skills, proven experience managing complex projects involving multiple vendors, a positive, friendly and engaging attitude, availability and flexibility to work in a fast-paced, ever-changing environment, and willingness to do whatever it takes to get the job done. This is a great opportunity for someone who has the hands-on mentality toward accomplishing tasks and can handle multiple initiatives at once. The main goal of the Workforce Engagement Specialist is to make work-life easier for all members and guests of the Cogito team! This position will be initially a remote position but will transition to a hybrid of office based work and remote work. Overall Responsibilities:Manage and enhance the complete visitor experience in the Cogito headquarters office, both through innovative technology solutions and in person, including in-person visitors and incoming inquiries to Cogito's main telephone lineManage the planning and execution of company-wide events and employee perks planning in conjunction with the Office of the CEO and People TeamPartner with Marketing and the People team to construct and send relevant and engaging communications with Cogicians regarding workspace initiatives (company events, building events, company perks, etc.)Maintain a high quality office appearance, a daily cleaned and fully stocked kitchen, food inventoryManage cleaning service vendorsManage and organize conference room bookings and workspace requirementsDrive and own the relationship with workspace vendorsRegister guests with building security on behalf of all teams as requestedPlan, organize, and execute ongoing socials with high level of employee engagement, including themes, logistics, communication, and (for in office participants) food and beverage orderingSupport the Recruiting team with both internal and external event planningPartner with Business Operations Team to coordinate and organize meetings and off-sites as neededFacilities Responsibilities:Establish and implement an annual facilities plan and budget for each office locationEnsure that offices have sufficient resources to support current and future growthDetermining the optimal office configuration that reflects the number of people utilizing the office and the ways they are utilizing it Manage relationship with the building management Manage relationships with sublessors and sublesseesCoordinate repairs and facilities improvements; follow-up on facility related ticket requestsOversee the inventory of office equipment and furnitureCompany Wide Events and Employee Engagement Initiatives:Participate in the on-boarding process of new Cogicians, act as the 'face' of Cogito and the company culture advocate during Cogician orientation periodManage the execution of Company-wide events in collaboration with the Office of the CEO and the People TeamPlan annual company events and celebrations: e.g: holiday party, annual sales kickoff, summer outing, Wogicians lunch, weekly CEO remote lunch meetings, Cogito family & friends event, International Women's Day Organize and facilitate monthly Cogito Reviews (all-hands company meeting) and quarterly departmental off-sitesPlan and execute employee appreciation initiativesManage company-wide calendars & communication Assist in planning and organization of events like: TechJam, BostonFest, SheGeeksOut, WomenHack, etcPlan, organize, and execute ongoing socials with high level of employee engagement, including themes, logistics, communication, and (for in office participants) food and beverage orderingAdministrative Options:Develop and implement workspace policies and proceduresManage incoming and outgoing mail; ensure mail and packages addressed to Cogito team members are delivered in a timely mannerParticipate in additional projects or duties as assignedRequirements and Skills:5+ years of office management, HR, employee engagement, facilities or other relevant experience Proven track record of managing complex projects involving multiple vendorsExperience interacting with senior management on annual planning and budgeting preferredExperience planning events, employee engagement programs or other internal employee focused initiatives Experience working in high-growth technology companies preferredSuperior communication, organizational and interpersonal skillsFlexible and adaptable to rapidly changing priorities and different personalitiesTakes initiative and anticipates needs before, or right as, they ariseTenacious attitude and willingness to see all work and projects through to completionAbility to handle multiple tasks and meet tight deadlines, maintain confidentiality as neededA deep sense of empathy and high emotional intelligenceTechnically Proficient in the Google Suite of products as well as computer skills related to a MacBenefits:Your choice of comprehensive benefits for you and your family's health, dental, vision, disability, and life insuranceMonthly catered lunch and live product demos401(k) retirement plan optionsOngoing professional development and cross-training20 days vacation time and 11 company holidays (yes, Patriot's Day is a holiday)Company paid parental leave upon hireCompetitive pay, stock options, and annual bonus eligibilityCasual dress and fun office atmospherePre-tax commuter benefitsStocked groceries in the kitchenOffice location in the heart of Boston with convenience to the MBTA linesEqual Opportunity Employer:Cogito is a proud equal opportunity employer.
