Job Description:Position SummaryThe Benefits Specialist acts as the main point of contact for leaves of absence, employee accommodation requests, employee communications, and wellness programs. They will ensure that all supported plans and programs are administered in compliance with plan documents, regulatory requirements, and meet established fiscal requirements.Primary Objectives and ResponsibilitiesActs as the day-to-day contact for leaves of absence (LOA) as questions arise with LOA/Disability vendor, from HR Directors (HRBPs), or Workers' Compensation carriers. Escalates LOA issues with vendor and other parties as needed to ensure any challenges are appropriately addressed.Maintains an effective return to work program by ensuring employees provide all necessary documentation and maintaining strong communication with managers regarding an employee's return to work status. Partners with HRBPs, Management, and Workers' Compensation as needed with any restrictions to facilitate an efficient, appropriate, and safe return to work process.Manages the company's interactive process as it relates to employee accommodation requests or needs. Ensures accommodation requests and the associated processes are consistent and in alignment with the Americans with Disability Act (ADA). Provides necessary communication to managers and HRBPs on a need to know basis as it relates to an employee's request for accommodation. Researches and provides input on feasibility of accommodation requests by working vendors, managers, employees, and other disability resources.Maintains all LOA and accommodation related policies, procedures, and ensures compliance with applicable local, federal, and state laws. Provides education where needed to company personnel on associated policies, programs, and best practices.Acts as the day-to-day contact for the 401k plan as questions arise from record keeper, broker, and employees.Assists with annual 401k audit working with auditors to gather information and documentation necessary to complete audit. Facilitates compliance testing completed by recordkeeper and processes any refunds for distribution and annual true up. Provides necessary communication on audits and compliance testing to facilitate effective decision making.Performs reconciliation per pay period of 401k contributions, employer match, and loan payments to ensure consistency between payroll and recordkeeper data and ensuring timely submission of funds. Completes an annual reconciliation of payroll system to recordkeeper system.Performs day-to-day work related to the company's wellness program administration including facilitating committee meetings, making recommendations for activities, and maintaining the budget for program-related activities.Works closely with Benefits & Wellness Manager to develop an overall benefits communication and education strategy.Creates and manages the circulation of all communications by working with internal partners and outside vendors relating to benefits, including required notices, open enrollment materials, wellness program communications and non-routine communications. Manages communication calendar and makes recommendations related to the best methods of communication based on target audience.Manages communication calendar and makes recommendations related to the best methods of communication based on target audience.Works with benefits team and broker to facilitate successful planning and execution of annual open enrollment including creation and revision of all communications and systems to reflect new benefits/benefit changes.Works with others in department to answer any general incoming benefits questions/inquiries and performs back up responsibilities for others on the team as needed or assigned.Keeps supervisor informed of important developments, potential problems, and related information necessary for effective management. Coordinates and communicates plans and activities with others, as appropriate, to ensure a coordinate work effort and team approach.Performs related work as apparent or assigned.QualificationsBachelor's degree in Human Resources, Benefits, or other related field.At least 5 years of experience in Benefits, Leave of Absence, and/or Employee RelationsDemonstrates proficiency in Microsoft Excel, Word, and PowerPoint.Experience working with Benefits Administration System or HRIS as a user and an administratorWorking knowledge of COBRA, FMLA, ADA, ERISA, HIPAA, and ACA regulationsMust be able to stand, walk, and reach with hands and arms.Must occasionally lift and/or move up to 10 pounds.Specific vision abilities required include close vision, distant vision, and the ability to adjust focus.Knowledge, Skills, and AbilitiesPrioritizes customer service; willing to go above and beyond to ensure prompt and courteous service.Demonstrates the ability to handle multiple and varied projects.Handles confidential information with the utmost judgment and discretion.Communicates effectively, both orally and in writing, with a wide variety of customers, company personnel, and others.Works well with numbers and details.Exemplifies teamwork and shows respect for others.Displays the ability to adapt to an everchanging work environment.DisclaimerThis job description in no way states or implies that these are the only duties to be performed by the employee in this position.
